RULES & REGULATIONS FOR PARTICIPANTS GEHENA 2024/25

The organizers and the term Exhibitor mean the signatory of this application and include all employees or agents of such, and the term Exhibitors means that described on the reverse hereof.

The organizers and “Orient Events & Promotions” mean ORIENT EVENTS & PROMOTIONS PVT. LTD.
In case of “Joint Ventures” howsoever described, the Exhibitor is deemed to have obtained the consent of all the individual participants to the conditions of this contract.
When space for a stand is not paid for, the organizers reserve the right to charge interest on any overdue amount at 1.5%. Any loss incurred by the organizers arising thereon must be paid by the Exhibitor.

Application for space must contain details for the proposed exhibit and the name or any other company represented by the Exhibitor whose products are to be shown on the stand are to be referred to on the stand.
The charge for space is exclusive of service charge and tax, is based on current rates of pay, rent, charges, and exchange and will be subject to alteration in the event of any change in rates remaining in charge.

The organizers shall have full power to determine every respect for the allocation of area and position of space, and they shall be entitled for any reason which in their sole opinion is due to General Interest to vary the situation and area of any particular stand even if already allotted and the Exhibitor shall accept such new allotment of space in substitution of that originally allotted.

Upon receipt of the invoice from a contractual strike between the organizers and the Exhibitor in terms of the within conditions subject to variations as mentioned and the relationship of Licensor & Licensee shall immediately arise and continue between the organizers and the Exhibitor. In case of non-payment of any sum due or any breach or non-observance of any of these conditions by the Exhibitor, the organizers shall have full right to revoke his license or, without notice, all or any of the allotted space and may remove and exclude the Exhibitor without prejudice to recovering all monies payable hereunder, all other claims against him, and damages sustained by the organizers.

Every Exhibitor shall complete the space allotted by 10:00 pm on the day prior to the opening of the Exhibition. In the event of default from any cause whatsoever, the Exhibitor shall pay to the organizers a further sum in liquidated damages equal to the total charge for the space and the organizers shall have the right to deal with the space in any way they think best.
In the event of any Exhibitor committing an act of bankruptcy or if a limited company being wound up the contract with him shall be determined and all monies already paid shall be retained by the organizers.

Exhibitors may not assign, sublet or grant licenses in respect of any part of the space allotted to them nor may advertisements of firms who are incorporated in the stand.

Exhibitors will be totally responsible for the cost of restoring to its original condition any part of the land or structure occupied by them which has been altered, damaged, or destroyed in any way.

Exhibitors will be totally responsible for the maintaining of ways as may be required to enable them or their servants, agents, representatives or attested to the Exhibitors stand and in no event shall the organizers be liable in damages or otherwise for any loss or damage or destruction to any exhibit, property, or any other item.

The organizers will be responsible for the safety of any Exhibitor, property of any Exhibitor, or any other person, for the loss of, or damage, or destruction to same, by theft, fire, or any other cause whatsoever. Any loss or damage whatsoever sustained by any Exhibitor by reason of any defect in a building caused by the organizers, weather, labour disputes, accidents, fires, floods, tempests, lightning, national emergency, war, or any other cause will be the exclusive responsibility of the Exhibitor, who shall be liable to pay the rent and all sums due.

In the event of the happening of any event which prevents, postpones, or delays the Exhibition, the Exhibitor shall have no claim for damages or loss of space.

In no event shall the Exhibitor have any claim for damages of any kind against the organizers in respect of any loss arising consequential upon the prevention, or postponement, or abandonment of the Exhibition, by reason of the happening of any of the events referred to condition 13 or otherwise.

The organizers reserve the right to alter, add to, or amend any of these conditions or not. The decision of the organizers shall be final. No alteration, addition, amendment, or waiver to or of these conditions shall operate to release any Exhibitor from any binding contract.

STANDS: 18. Stands must be properly manned with exhibits displayed during the entire Exhibition and open to visitors. No exhibits may be removed before the end of the Exhibition without written permission of the Organizers, which will only be given in exceptional circumstances. All exhibits and stand fitting materials must be removed from the Exhibition Building within the period stipulated by the Organizers. 19. The Exhibitor shall indemnify the Organizers against any loss by reason of delay or damage to the Exhibition Building. 20. The Organizers reserve the right to make an additional charge to each Exhibitor for any amount charged to them for any services supplied which were specified or ordered not, the Organizers accept no responsibility for replacement or failure of any services provided for, or in connection with, the

Exhibition. 21. The Exhibitors must vacate the exhibit space and hand it over in the original state within the period specified for stand clearance.

CANCELLATION: A) For cancellation more than 30 days in advance of event date 50% will be charged as a cancellation charge. B) For cancellation 15 to 30 days before the event date 75% amount will be charged as a cancellation charge. C) Upon failing to appear at the event by the organizers, the contract shall be canceled and no refund will be made.

FAILURE OF SERVICES: 22. In the event of failure of services like electricity or water or any related event, the organizers are not liable.
